Job Summary:

The primary school PTA is seeking a dynamic and enthusiastic parent to join us as the PTA Secretary. As the Secretary, you will play a vital role in supporting our PTA’s activities and ensuring effective communication among parents, teachers, and the broader school community.

Responsibilities:

  • Meeting Support: Assist in scheduling and organising PTA meetings, ensuring all members are informed of the date, time, and location. Prepare and distribute meeting agendas and minutes, capturing key discussions and decisions. Support the Chair in preparation of the Chair’s Report for the AGM.
  • Communication Liaison: Serve as a friendly point of contact for parents, teachers, and other stakeholders. Help distribute important information, such as newsletters, event updates, and volunteer opportunities, utilising various communication channels such as emails, social media, and the school website.
  • Event Coordination: Collaborate with the PTA team to organise and coordinate events throughout the school year, including fundraisers, social gatherings, and community outreach initiatives. Help with tasks such as venue booking, logistics, risk assessments and volunteer coordination.
  • Record Keeping: Maintain accurate and up-to-date records of PTA membership, contact details, and attendance for meetings and events. Maintain PTA insurance, subscriptions and user access. Ensure charity’s legal reporting obligations are met, including updating any changes to Trustees’ details with Charity Commission, and ensure accurate and timely submission of Annual Return to the Charity Commission. Assist in managing relevant documentation, such as financial records and audits. .
  • Support PTA Initiatives: Collaborate with the PTA team to provide assistance in various initiatives, including fundraising campaigns, school improvement projects, and student enrichment programs. Offer ideas, suggestions, and help implement strategies to enhance our school community.

Qualifications:

  • A parent or guardian of a child attending our primary school.
  • Excellent organisational and time-management skills.
  • Strong communication and interpersonal skills, with a friendly and approachable demeanour.
  • Proficiency in basic computer skills and familiarity with commonly used software applications.
  • Ability to work collaboratively with a diverse group of parents, teachers, and school staff.
  • Enthusiasm and passion for contributing to the success of our school community.
